REGISTRATION INFORMATION

 

The registration form was updated on May 30 to include optional fee-based items, such as the Breakfasts with Experts, SIG Luncheons, the Gala Banquet, computer workshops, tours, etc.

  • If you have already registered for the conference and want to add items or make other changes to your information, go to the Update Your Registration Info page. I have prepared a help page with screen shots showing the process that you can view here.
  • If you have not already registered and want to begin the process, go to the Registration Form. The help page described above applies, but starting at Step 2.

WHAT YOUR REGISTRATION INCLUDES

Primary registrants for the full conference, including student registrants, who have registered by July 10 receive a tote bag that includes, along with other materials:

  • a Daily Planner booklet
  • a Family Finder booklet
  • a memory stick (USB flash drive)

The memory stick contains a digital (PDF) version of the conference Syllabus, which includes, among other things, all of the handout materials submitted by speakers (see the table of contents here).

Spouse/partner and daily registrants who register by July 10 receive a Daily Planner booklet but do not receive a tote bag or memory stick (those items may be ordered separately) or a Family Finder booklet.

Those who register after July 10 will receive materials while supplies last. (The deadline for us to place orders with vendors is shortly after July 10.)

All registrants are entitled to access—on a first-come-first-served basis—to the lecture program, the Resource Center, the Film Festival, the Exhibitor Hall, and the evening programs (except for the banquet, which requires a ticket).

Optional fee-based events and items may be purchased only by those who are registered for the conference (in the case of events, they must be registered for the day of the event).

Conference activities, in general, are open only to those who are registered for the conference. The following exceptions apply:

  • Conference registrants may purchase up to two tickets for the tours, for use by themselves and/or guests.
  • Conference registrants may purchase a banquet ticket for themselves and an additional ticket for a guest.
  • Speakers may request a special badge to admit one family member or guest to their talk only. They may request additional guest badges at a cost of $20 each. Details about obtaining these badges will be provided later.
  • Registered attendees may obtain guest tickets to the evening entertainment events. Details will be provided later.


Pricing Schedule

Registration is open with the following schedule, with the cost of registration increasing for each successive period (see below):

  • Early Registration: until midnight, EDT, April 30, 2013
  • Regular Registration: from May 1 to midnight, EDT, August 2, 2013
  • On-site Registration: August 3, 2013, until the end of the conference

Payment Methods

We expect most registration fees to be paid by credit card through the registration form on this website. Some people worry about using a credit card online. From what we have read, this worry is generally not well founded; credit card processing online is generally safer than in-person processing. After all, when you hand over your card to a clerk in a store or to the serving staff in a restaurant, they have all the information on your card, including the special code printed on it. Internet systems generally protect the credit-card information much more carefully. While there have been online security breaches, most credit-card fraud arises in other ways. In addition, most credit cards include complete coverage against fraudulent charges.

If, for some reason, you cannot use or do not want to use a credit card, payments may be made by check. However, please observe the note below.

 

Payment by Check

If you plan to pay by check, please do not fill out the registration form until you are ready to mail the check to the conference treasurer (the payee and address information are provided on the payment page of the form, on your confirmation, and below). When you indicate on the form that you are paying by check, enter the check number in the box provided.

If we do not receive the check within one week of the registration, we may cancel the registration or the optional items ordered. To take advantage of special pricing, the check must be received by the treasurer prior to the cut-off date.

Spouse/Domestic Partner Definition

The reduced "Spouse/Domestic Partner" registration fee applies only for spouses and domestic partners who reside in the same household. It does not apply for roommates, siblings, parents, children, or other relatives of the primary registrant. The Conference reserves the right to verify the status of anyone registering in this fashion.

Cancellation/Refund Policy

The cancellation policy depends on the time at which notice of cancellation is received, as follows:

  • On or before July 7: For cancellation notices/refund requests submitted by midnight EDT July 7, 2013, there will be a full refund of all registration fees and all additional charges, less a $50.00 administrative fee.
  • On or after July 8: For cancellation notices/refund requests submitted on July 8, 2013, or later, there will be no refunds. We regret if illness, a family emergency, or other reasons mean that you must cancel your registration after July 7, 2013. We know, however, you will understand that we have incurred obligations to others based upon your registration.

There will be no exceptions to the cancellation/refund policy. You may want to consider buying trip cancellation insurance.

Full Conference Registration Fees

These registration categories are for the entire conference (i.e., all the days listed in the next section).

For full-time students with a student ID, we are offering a special rate of $100 for the full conference.

Primary registrants, including student registrants, will receive a tote bag and memory stick containing, among other things, a PDF version of the conference syllabus (the syllabus includes all of the handouts submitted by speakers, table of contents here). Spouse/Domestic Partner and daily registrants do not receive a tote bag or memory stick. They may order them for an additional fee.

Note that the registration fee includes the lectures, the Film Festival, the Resource Center, the Cyber Center, and the Exhibitor Hall. It also includes the spectacular evening events at no additional cost (in the case of the banquet, included in the banquet fee).

Other optional aspects of the conference will have separate fees (see below). These include tours, computer workshops, and meal events (Breakfasts with Experts, Special Interest Group (SIG) Luncheons, and the Thursday evening banquet).

Daily Registration Fees

Attendees have the choice of registering for individual days of the conference at the following rates:

Registration for Sunday includes the keynote speaker and the conference reception.

Optional Fee-Based Items

Various optional items and activities (with separate fees) are now available, including the the items listed below. NOTE: These items are available only to those who have registered for the conference.

  • Printed Syllabus

    All primary registrants for the full conference (not spouse/partner or daily registrants) will receive a tote bag and a memory stick with a digital version of the syllabus, which includes the abstracts of all the talks and whatever handouts were submitted by the speakers. Registrants will have the option to pre-order printed copies of the syllabus for $40 each. See the full table of contents here.

  • Tote Bags & Memory Sticks

    Those who register for the full conference as a spouse/domestic partner or who register for individual days of the conference do not receive a tote bag or memory stick as part of their registration. They may purchase them as optional items at $10 each. Orders must be placed by the end of the day on July 10.

  • Computer Workshops

    The computer workshops are now listed in the Program Schedule. To see a listing of all of the computer workshops, click on the little downward pointing triangle for the "Type of Presentation" search option field and select "Computer Workshop". Then click on the "Search" button. There is also a special page devoted to the workshops.

  • Banquet

    The Gala Banquet will be held Thursday evening. It special entertainment is described on the evening events page. Orders must be placed by the end of the day on July 24.

  • SIG Luncheons

    The SIG Luncheons are listed in the program schedule To see a listing of all of them, enter "luncheon" in the "Keyword" search option field. Then click on the "Search" button. There is also a special page devoted to the meal events. Orders must be placed by the end of the day on July 24.

  • Breakfasts with the Experts

    The Breakfasts with Experts are listed in the program schedule To see a listing of all of them, enter "breakfast" in the "Keyword" search option field. Then click on the "Search" button. There is also a special page devoted to the meal events. Orders must be placed by the end of the day on July 24.

  • Tours

    The tours are now described in detail here, and they are included in the Program Schedule. To see a listing of all of the tours in the program schedule, enter "tour" in the "Keyword" field of the search options. Then click on the "Search" button.

On-Site Registration Hours

On-site registration, where you pick up your badge (required for attendance at most conference functions) and other materials, will be open during the following hours:

Saturday (August 3): 4:00 pm - 8:00 pm
Sunday (August 4): 8:00 am - 7:30 pm
Monday - Thursday (August 5 to 8):    7:30 am - 5:00 pm
Friday (August 9): 7:30 am - 10:00 am
